Efficient and profitable service requires a continuous effort to balance available resources with current utilisation levels. With geographically dispersed organisations, scheduling of service becomes a challenge. IFS Applications keeps track of all information and provides effective resource planning. The work order scheduling tool provides a continuous overview of different workloads in the organisation, for individuals, departments, or work places. The software makes it easy to identify available resources, taking into consideration employees’ work schedules and skills profiles.

Work order for daily assignments

Information about the specific service assignment is available in the work order, the service technician’s information source in his daily work. It contains descriptions of previous work performed on the facility equipment, technical documentation, work descriptions, and material lists. It also comprises the functions for fast and simple reporting. The result is an optimised workflow, with short lead times and maximum use of resources.

Mobility for Buildings and Public Facilities

In cooperation with IBM, the next generation of mobile applications is already available. This allows you to use any of the rapidly growing number of devices (for example, Pocket PCs, Palm Pilots, Linux PDAs or Symbian-powered telephones) on-line or off-line as communication tools whenever and wherever needed. This gives your workforce maximum flexibility and enables you to maximise your utilisation of your skilled employees.

The equipment register gives full control over the facilities

Having structured and updated information in the equipment register enables efficient service, for both serial equipment and functional objects. Complex facilities are described in both a hierarchical and a parallel structure. Detailed information is easily available along with technical documentation and regulations. Facilities and equipment are also connected to the respective customers and contracts, making information on everything from contractual commitments to the objects’ service addresses readily available.

The service contract

In IFS’ solution for buildings & public facilities, you can create individual service contracts for different types of equipment, service orders, and pricing structures, including material, hours, and expenses. If the service order is related to a valid fixed price service contract, the system can be set up to automatically create invoices for any parts that fall outside the contract. Costs are accumulated on the service contract to enable continuous analysis of profitability. Users can easily see which contracts are profitable and which are not, and this information can be used as basis for tailoring new contracts.

Inspections and preventive maintenance saves repair costs

IFS Applications organises and plans all types of preventive maintenance actions, allowing actions to be controlled manually, by date or conditions, or to be initiated by specific events. By using routing functions for inspections, the actions can be planned in a sequence that minimises travel between service locations. The system contains functionality to continuously measure and compare the ratio between preventive and corrective maintenance actions to find an optimised and cost efficient service level.
