Before implementing IFS Applications, time reporting was a manual task. Handwritten reporting of deviations on time sheets were manually entered into the payroll system by staff from the payroll department. Handling time reports this way meant that all
follow-up and statistics were at least a month in arrears. This applied not only to time balances and other employee information but also to vital business data. These considerations, and the approaching turn of the millennium, prompted Hylte Bruk to
review its human resource management system and begin the process of investing in a faster, more efficient solution.
The solution

Implementation
The mill started by implementing the payroll solution, then the time & attendance software. Since the new time reporting system meant an entirely new way of working, the project group spent considerable time preparing employees for the change and
impressing on them the benefits of the system. The solution was quickly adopted by all personnel, including senior management
Benefits
Today, time reporting is an automated procedure. At the beginning and end of each workday, employees use their cards in one of the 45 terminals strategically placed within the mill. The time is automatically registered, authorized by a supervisor and
transferred to the payroll system for wage calculation and payment to the employee. Furthermore, direct debiting functionality means that the card can be used in the factory canteen, replacing the old system based on lunch coupons, which required much
more administration. Hylte Bruk also uses IFS Applications for employee sick leave administration, utilizing the built-in support for such things as reporting to authorities or keeping track of the information related to sick reports. Today, each
employee, including the managing director, reports time via IFS Applications.
The reduced amount of manual processes has been the most important benefit. The new technology enables administrators and supervisors to use new, more efficient work methods. Today, administrators, supervisors and management cooperate on a new level.
Managers are better able to supervise their staff and participate more actively in day-to-day personnel management.
Administrators spend less time answering colleagues questions and more time on core tasks, for instance making sure that salaries are correctly calculated and generated at the right time.
Implementing IFS Applications has also meant a great improvement in following up on business performance. Previously, data on which decisions were based could take a month or more to compile; now it is a much speedier process. Data are retrieved using
reports, directly in the system or through Crystal Reports, the reporting tool. Supervisors can access the information they need when they need it, and do not have to wait for a report to be put together by someone else.
